We're Hiring - Office Manager

SPEY is on the lookout for an Office Manager with a positive can-do attitude to be part of a fast-growing communications agency based in Forres, Moray.

Job Description

As Office Manager your job responsibilities will include:

  • Coordinate office activities and operations to secure efficiency and compliance to company policies
  • Manage agency task management system
  • Preparation for pitches, client meetings and ad hoc tasks
  • Manage agendas/travel arrangements/appointments 
  • Managing relationships with suppliers, negotiating and getting us the best deals
  • Organisation of maintenance and keeping the office in good working order
  • Business administration and IT
  • Human resource administration
  • Support to Managing Partner with some PA duties
  • Manage the welcome area including the phones and meeting room, as the first point contact for clients and guests visiting the agency
  • Manage phone calls and correspondence 
  • Support budgeting and bookkeeping procedures
  • Create and update records and databases with personnel, financial and other data
  • Track stocks of office supplies and place orders when necessary
  • Submit timely reports and prepare presentations/proposals as assigned
  • Assist colleagues whenever necessary
  • Keep our office plants alive

Hours

This is a full time position based in our Forres headquarters (once covid-19 restrictions lifted) with flexible working hours available.

Required Education, Skills and Qualifications

You may have great professional experience already or/as well as qualifications in any of the following subjects:

  • Business administration/business management
  • Computing and information technology
  • Human resource management
  • Public administration

What you will need:

  • Proven experience as an office administrator, office assistant or relevant role
  • Outstanding communication and interpersonal abilities
  • Excellent organisational and leadership skills
  • Familiarity with office management procedures and basic accounting principles
  • Experience in task and office management software 
  • Trustworthy and discrete
  • Dog and family friendly office, so liking dogs and children is a must!
